Booking Terms & Conditions

These terms apply to every course booking made with Trident Training Centre Ltd (“we”, “us”), whether online, by phone, by email or through an employer. By booking you accept them. Read them together with the Pre-course Information Pack for your course.

1. Definitions

  • Course — the training and assessment described on the course page at the time of booking.
  • Learner — the named individual who will attend. Customer — the person or organisation paying, where different.
  • Start date — the first day of the course, including any first aid day booked as part of a bundle.
  • Working day — Monday to Friday excluding English bank holidays.

2. Making a booking

  • A booking is made for a named learner on a specified date. It is confirmed when we receive payment (in full or the deposit) and issue a booking confirmation. Until then no place is reserved.
  • The customer is responsible for ensuring the learner receives the booking confirmation, the Pre-course Information Pack and any later instructions, and that the learner meets the entry requirements in Policy 2.
  • Learners must be at least 18 on the start date for SIA and Pit Barrier courses and at least 16 for first aid courses.
  • We may decline or cancel a booking where the learner does not meet the entry requirements, where information given is false, or where we have previously removed the learner from a course for misconduct. Fees paid are refunded in full in that case unless clause 6 applies.

3. Prices and payment

  • The price is the price shown on the course page when you book. Prices include all training, examinations, practical assessments, learner materials and the first certificate. They do not include SIA licence fees, travel, meals, re-sit fees after the first free re-sit, or replacement certificates. [CONFIRM: state whether prices include VAT or the centre is not VAT registered.]
  • You may pay in full, or pay a deposit of 50% of the total price. The balance is due no later than 7 days before the start date. We will send one reminder. If the balance is not received by the due date the place is released and the deposit is retained.
  • Employers and other organisations may be invoiced. Invoices are payable before the start date unless credit terms have been agreed in writing.
  • Bundle prices (for example Door Supervisor with Emergency First Aid at Work) are a single booking for both courses and are treated as one course for cancellation purposes.

4. Entry requirements and pre-course work

  • The learner must meet every entry requirement for the course and complete all pre-course learning by the deadlines in the Pre-course Information Pack. These are Highfield and SIA requirements, not our preferences, and we cannot waive them.
  • A learner who arrives without the required original identity documents, first aid certificate, ACT certificates or e-learning completion will not be admitted. This is treated as non-attendance under clause 6.
  • Where a first aid course is booked as part of a bundle, the learner must pass the first aid course to continue onto the SIA course. If the first aid course is not passed, the SIA course element is forfeited unless a free re-sit can be arranged before the SIA course starts.

5. Cancellation and transfer by the learner or customer

All cancellation and transfer requests must be made in writing to info@tridenttrainingcentre.co.uk. The date we receive the email is the notice date.

Notice given before the start date Cancellation Transfer to another date
More than 14 days Refund of all fees paid less a £50 administration fee. First transfer free of charge. Each further transfer £25. Transfers must be to a date within 6 months of the original start date, subject to availability.
14 days or less No refund. No transfer.
  • Statutory cancellation right. If you booked online, by phone or by email as a consumer, you have the right to cancel within 14 days of the day you received the booking confirmation without giving a reason and receive a full refund. By booking a course that starts within that 14-day period you are asking us to begin providing the service (registration, e-learning access and materials) before the cancellation period ends; if you then cancel, we may deduct an amount for what has already been provided. If the course has been completed within the 14 days the right to cancel is lost. To exercise the right, email us stating that you wish to cancel; you may use the model cancellation form at the end of this policy. This right does not apply to business customers.
  • Deposits are fees paid for the purpose of this clause and are refundable on the same terms.
  • A transferred booking keeps its original booking date for the statutory cancellation right and cannot later be cancelled for a refund if the original notice period has passed.
  • Bookings are not transferable to another person without our written agreement. Where we agree, the incoming learner must meet all entry requirements.

6. Non-attendance, lateness and leaving early

  • If the learner does not attend, arrives after the course start time, leaves before a session ends, or is not admitted under clause 4, the fee for the course is forfeited in full. No refund or transfer is given regardless of the reason, including illness, work commitments, transport failure or emergency.
  • A learner who misses one or more days of a multi-day course cannot complete the qualification on that course. Where places exist we may allow the missed day(s) to be attended on a later course at the re-attendance rate published on our website [CONFIRM rate].

7. Cancellation or changes by us

  • We may cancel or reschedule a course for reasons including insufficient numbers, trainer illness, loss of the venue, or events outside our control. We will give as much notice as possible.
  • If we cancel, you may choose a free transfer to another date or a full refund of all fees paid for that course. We are not liable for travel, accommodation, loss of earnings or any other loss arising from cancellation or rescheduling.
  • We may change the trainer, room layout or course timetable without notice, provided the qualification and its delivery requirements are unaffected.

8. Assessment and certification

  • Examinations are set and marked by Highfield Qualifications. Attendance does not guarantee a pass. The learner must pass every examination and practical assessment to be certificated. Re-sit fees and arrangements are in Policy 3.
  • Certificates are issued by Highfield. We are not responsible for delays by Highfield or the postal service. Replacement certificates are obtained from Highfield and their fee applies.
  • We do not decide SIA licence applications and give no assurance that a licence will be granted. Licence decisions, fees and timescales are matters for the SIA.

9. Conduct, recording and health

  • The Learner Code of Conduct (Policy 4) applies. We may remove a learner who breaches it. Fees are not refunded on removal.
  • Physical intervention training and assessment is video recorded as required by Highfield and the SIA. Recordings are used only for quality assurance and regulatory purposes and are handled under Policy 13. Learners who will not consent to recording cannot complete a qualification containing physical intervention.
  • Physical intervention and first aid courses involve physical activity. The learner must tell us before the course of any injury, condition or pregnancy that could be affected by that activity, and must complete the health declaration on day one. We may exclude a learner where participation would be unsafe.

10. Liability

  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot be limited by law.
  • Subject to that, our total liability in connection with a booking is limited to the fees paid for it, and we are not liable for loss of earnings, loss of employment, licence refusal, or any indirect or consequential loss.
  • Personal property is brought onto our premises at the learner’s own risk.

11. General

  • Personal data is handled under Policy 13 (Privacy Notice).
  • Complaints are handled under Policy 5.
  • We may update these terms. The terms in force when you book apply to that booking.
  • These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction.
